Administrative / HR Assistant - EUBAM

Summary of key functions:

  • Prepares draft job descriptions, vacancy announcements, performs functions of Secretary in interview panels;
  • Maintains proper filing system for HR records and documents, ensuring safekeeping of confidential materials;
  • Establishes a proper monitoring system of attendance records (sick and annual leaves, etc.);
  • Conducts resignation procedure of project personnel;
  • Processes request for booking/purchasing air tickets for project personnel in full consultation with Administrative Specialist and in accordance to the established SAP;
  • Processes requests for visas and diplomatic accreditation in Moldova (liaise with the EC Delegation); maintains a database on accreditation cards issued to the project;

Qualifications and skills required:

    • University degree, certification in administration or HR related trainings will be an asset;
    • 3-5 years of progressive experience in administration or programme support service, preferably in international environment; experience with technical assistance projects is an asset;
    • Fluency (both oral and written) in the English, Russian and Romanian languages;
    • Advanced computer skills, experience in handling web-based management systems;
    • Ability to perform a variety of standard specialized and non-specialized tasks and work processes that are fully documented, researched, recorded and reported;
    • Ability to review a variety of data, identify and adjust discrepancies, identify and resolve operational problems;
    • Ability to perform work of confidential nature and handle a large volume of work;
    • Sound knowledge of administrative rules and regulations;
    • Ability to work in team; energetic and optimistic approach to all possible problems.
